CURRENT JOB OPPORTUNITIES:

Clerical Assistant
Reports to: 50% to Director of Advancement, 50% to Front Office Manager
Department: Administration
Full-time, some evenings/weekends may be required

The Clerical Assistant will provide support to several administrative functions of the school, including the Admissions, Advancement and Front offices. This position will be split between two departments so flexibility is key. The Clerical Assistant will be expected to work half time at the front desk and half time in the Department of Advancement and Admissions. The assistant must be personable and professional when dealing with students, parents, faculty and guests to the school.

Attributes Required:

  • Experience working as a clerical assistant or receptionist, preferably in education

  • Able to maintain high level of confidentiality

  • Personable, friendly, and professional when dealing with students, parents, faculty and guests

  • Belief in the Billings Mission and passion for middle school-aged students

  • Willingness to supervise middle school students when necessary

  • Able and eager to work on a team

  • Self-motivated

  • Flexible

  • Calm and methodical under pressure

  • Positive attitude

Skills Required:

  • High school diploma required

  • Comfortable using all Microsoft Office programs

  • Experience using web-based tools such as Google, SquareSpace, and more

  • Experience using a database strongly prefered (we use Little Green Light & Ravenna Solutions as well as ORCAS)

  • Strong organizational skills and attention to detail

 

Job Responsibilities May Include:

  • Receptionist/Front Desk

    • Answer the phone and transfer calls, take messages, and answer questions

    • Maintain office and school supplies

    • Track student attendance

    • Sort mail

    • Maintain contact lists for all current and past constituents

    • Learn emergency procedures and notification systems

  • Data Management

    • Enter data from new constituents (incoming families, new donors)

    • Enter incoming gifts (Annual Fund, Auction, Capital Campaign, etc)

    • Pull contact lists as needed

    • Use Little Green Light database to generate and send tax return documents

  • Admissions

    • Assist with organizing files

    • Print and scan materials for applications

    • Provide administrative support for events (printing schedules, making nametags, etc).

  • Mailings

    • Generate mailing labels

    • Assist with stuffing envelopes

    • Running letters through the postage meter
